Privacy Policy

This policy explains what personal information Hagan Institute of Leadership collects, why we collect it, how we protect it and the rights you have. We take particular care with information about children and young people.

Last updated 17 October 2026Governed by Ghana’s Data Protection Act, 2012 (Act 843)

1. Who we are

Hagan Institute of Leadership (“HIL”, “we”, “us”) is a leadership development institution based in Accra, Ghana. HIL is responsible for the personal information described in this policy. You can contact us about privacy at [email protected] or on 024 770 5153.

2. Information we collect

We collect only the information we need. Depending on how you engage with us, this may include:

  • Contact details — name, phone number, email address and organisation.
  • Application and participation details — the programme you are interested in, a student’s name, school and class, and a parent or guardian’s contact details.
  • Welfare information — emergency contacts, and medical needs or allergies that parents choose to tell us so we can keep a participant safe.
  • Development records — attendance, leadership assessments, reflections and mentorship notes created during programmes.
  • Images — photographs or video taken at programmes, used only with appropriate consent.
  • Communications — messages you send us and our replies.
  • Website information — technical information such as your browser type and IP address, collected by our hosting and security systems.

3. How we use it

We use personal information to:

  • Respond to enquiries and process applications;
  • Deliver programmes, mentorship and continuous leadership development;
  • Keep participants safe and meet our safeguarding responsibilities;
  • Assess and report on participants’ leadership development to them and, for under-18s, to their parents or guardians;
  • Send newsletters and programme updates where you have asked to receive them;
  • Manage partnerships, finances and legal obligations;
  • Improve our programmes and website.

We process information on the basis of your consent, to perform an agreement with you (such as delivering a programme you have enrolled in), to meet legal obligations, or for our legitimate interests in running the Institute responsibly — never in a way that overrides your rights.

4. Children & young people

Many of our participants are under 18. We collect information about children only with the knowledge and consent of a parent or guardian, use it only for the purposes described here, and share it only where necessary to deliver the programme, protect the child or comply with the law. We do not publish identifiable images of children without written parental or guardian consent, and we never sell or use children’s information for marketing.

5. Our website forms

The contact and application forms on this website do not store your information on our website. When you press “Send”, your message is prepared in WhatsApp or your email application, and is only sent to HIL when you choose to send it. Those messages are then handled by HIL in line with this policy. WhatsApp and email providers process messages under their own privacy policies.

6. Sharing information

We do not sell personal information. We share it only when necessary, with:

  • Schools or sponsoring organisations that have enrolled participants, limited to what is needed to manage participation;
  • The Love Jar Foundation, for students taking part in joint service activities, limited to what is needed for safe supervision (see Partners);
  • Service providers who help us operate — for example website hosting, email and messaging — who must protect the information;
  • Authorities, where required by law or where necessary to protect someone from harm.

7. Keeping it secure

We use appropriate technical and organisational measures to protect personal information, including restricting access to those who need it, protecting devices and accounts, and storing safeguarding records separately. Further detail is set out in our Data Protection policy.

8. How long we keep it

We keep personal information only as long as needed for the purpose it was collected, including the period of continuous leadership development that follows a programme, and any period required by law. Information is then securely deleted or anonymised.

9. Your rights

Under the Data Protection Act, 2012 (Act 843), you have the right to:

  • Ask whether we hold information about you and request a copy;
  • Ask us to correct inaccurate or incomplete information;
  • Ask us to delete information we no longer have a valid reason to keep;
  • Object to, or withdraw consent for, certain uses — including marketing and the use of images;
  • Complain to Ghana’s Data Protection Commission.

Parents and guardians can exercise these rights on behalf of their children. To make a request, email [email protected] with the subject “Privacy request”.

10. Cookies

Our website uses a small number of cookies and similar technologies. See our Cookie Policy for details.

11. Changes & contact

We may update this policy from time to time. The latest version will always be on this page with its date of last update. Questions are welcome at [email protected].
